Refunds and Net Revenue: Reconcile Campaign Performance
Review campaign revenue after refunds, cancellations, and commission reversals with a repeatable reconciliation process and clearly labeled reporting periods.

Direct answer
Reconcile campaign revenue by matching original purchases with refunds, cancellations, or commission reversals using stable business references. Show gross and retained revenue separately, state the reporting date basis, and verify how each receiving system supports adjustments before updating records.
The sale that looked profitable on launch day may be refunded two weeks later. A report that keeps every original purchase at full value can overstate the money a campaign retained, while a report that silently overwrites history can make yesterday's decision impossible to explain.
| Value | Approach one | Approach two |
|---|---|---|
| Value | Gross revenue records the original sales | Retained revenue reflects the defined adjustments |
| Timing | Cash-period view shows adjustments when processed | Acquisition view associates adjustments with the original cohort |
| Record | Deleting a purchase removes its history | Linked adjustments preserve what changed |
Agree on the authoritative business record
Choose the order system, payment ledger, or affiliate approval report that establishes the amount retained. Record whether your analysis uses merchandise value, commission, or another revenue definition. Tax and shipping treatment should be explicit rather than changing from one export to the next.
Build a small reconciliation sheet with the order reference, campaign reference where available, original amount, refunded amount, currency, and adjustment date. Use non-identifying business references. A customer email is neither necessary nor sufficient to distinguish several orders and their separate refunds.
Keep the purchase and its adjustments connected
A partial refund should reduce the value of its original order without erasing the fact that a purchase happened. In an illustrative example, a $120 order followed by a $30 refund leaves $90 before any other defined deductions. Two notifications about that same $30 refund should not subtract $60.
Check each integration's supported adjustment and deduplication rules before changing campaign data. Some receivers support corrections or retractions; others require a separate reconciliation outside the original report. Do not send a negative purchase event and assume that every system will interpret it as a refund.
Separate cash timing from acquisition performance
A cash-period view includes refunds processed during the selected period, even when the original orders came from earlier campaigns. An acquisition-cohort view assigns those adjustments back to the group that generated the orders. These views answer different operational questions.
For example, October refunds from September orders can reduce October cash receipts without showing that October acquisition became worse. Compare cohorts after a similar return and approval period. Mark younger groups as preliminary, and retain a record of when their values were last reconciled.
Explain the revised campaign decision
Compare gross sales, refund rate, retained revenue, and relevant costs by source. A higher refund rate may reflect offer expectations, fulfillment problems, or audience fit. Investigate the reason with business records before attributing it to poor traffic quality.
Use Tracly's conversion and revenue view alongside that reconciliation. Verify any supported adjustment workflow rather than assuming automatic synchronization with checkout or affiliate systems. When a decision changes, state the adjustment period and the newly retained amount so the team can distinguish revised evidence from a sudden change in live campaign delivery.
Frequently asked questions
Should a refund reduce the conversion count?
That depends on the metric. Keep original purchases distinct from retained orders, and document whether a full refund changes the count in the receiving report.
Should I subtract every refund from this month's campaigns?
Use that timing for a cash-period report. For acquisition performance, connect refunds to the original orders and their acquisition cohorts where matching is available.
Does Tracly automatically import refunds?
Verify the supported integration for your setup. This reconciliation process does not assume automatic refund imports or historical corrections.
